This position will play a role in managing the end to end immigration processes for all Fragomen employees in the Middle East and in organizing the movement of talent from their locations to their relevant office in the Middle East. This role is part of the Human Resources team in the UAE office and reports into the MEA Senior HR Manager based in Dubai.
The Immigration & Mobility specialist is responsible for managing and facilitating end to end immigration processes of Fragomen employees and their dependents ensuring that the firm is compliant and that employees have the relevant paperwork in place that enables them to work for Fragomen in the locations that we operate in within the Middle East. This role is also responsible for the temporary and permanent movement of talent & employees into and out of their relevant office in the Middle East with all tasks related to their relocation support and Immigration requirements.
Coordinate and execute end to end immigration processes to our employees and their dependents providing quick, efficient, and reliable services for all Government related tasks such as employment permits, entry visas, medical examinations, salary certificates, and other miscellaneous jobs related to Immigration.
Effectively communicate the immigration process and progress with relevant employee including document collection, filing of applications, and anticipated finalisation dates, ensuring that communication is technically accurate, and written communication follows the standard layouts and templates.
Run compliance assessments, set clear process and requirements guidance, and handhold employees through the immigration process.
Identify key issues that may impact immigration formalities such as travel plans, dependants, and health issues, to ensure the employee is updated on the status of each application and anticipated issues or timelines. Identify key issues that may impact immigration approvals or successful security clearance.
Use our visa system ‘Connect’ to track expiries and start renewals in adequate time sending out reminders and managing the process and communication related to it.
Process cancellation for exiting employees and assist in coordinating an efficient exit process.
Work with Finance for immigration portal top ups ensuring sufficient funds for the facilitation of immigration processes.
Work closely with the rest of the HR team to support the onboarding, movement, and offboarding of employees with relation to immigration and mobility, ensuring a cohesive and efficient process.
Prepare employee letters including salary certificates and NOCs related to immigration processes and/or consulates.
Provide expert advice to employees on all visa formalities and all other government related procedures.
Maintain accurate records of employee documents and receipts related to the immigration process and ensure documents on file are up to date.
Be the main point of contact for new hires from the time they accept our offer till their joining date, this includes but is not limited to collecting their relevant documents, onboarding forms, starting their visa process, confirming joining date depending on their visa status, etc.
Be up to date with all the changes to immigration processes and implement those changes.
For employees hired externally, coordinate and facilitate relocation support including analyzing the requirements such as duration of covered accommodation, and liaising their travel, temporary accommodation, and other relocation benefits administration.
Facilitate immigration and relocation requirements for employees going or coming on temporary secondments.
QUALIFICATIONS & EXPERIENCE
Minimum of three years of experience in HR, mobility, or immigration preferably in a global organization
Strong understanding of immigration law in the UAE and preferably in the other MEA locations
A strong, collaborative communicator – verbal and written
Excellent organisation skills and comfortable working in a fast-paced environment
Excellent accuracy and attention to detail
A curious mindset with the motivation to continually look for and implement improvements
Demonstrates business acumen and the ability to understand key Firm financial metrics
Flexible and resilient, with the ability to positively overcome challenges
